Privacy policy

What we collect, who else sees it, and what you can ask us to do with it. Including the information your own customers give you through the tools we run.

The short version

We collect what we need to run the service and to bill you, and nothing else. We do not sell personal information. We do not use your data, or your customers' data, to train AI models.

Anything on this page that you want explained, or changed, comes to jacob.putnam@techbeatsolutions.com and a person answers it.

What we collect

Directly from you, when you give it to us:

  • Your name, business name, email address and phone number
  • Your account login, and a password stored only as a one-way hash that cannot be reversed
  • The content of your project: your logo, photographs, copy and settings
  • Messages you send us, and notes we make about our conversations
  • Billing details, held by Stripe rather than by us

What we collect automatically

When you use the site:

  • A session cookie named tbs_session, which keeps you signed in. It is essential; without it you cannot log in.
  • Standard server logs: your IP address, browser, and the pages you requested.
  • Anonymous usage statistics through Google Analytics, if your browser allows them. We use these to see which pages get read, not to identify you.

Information belonging to your customers

Our tools hold information about the people who contact you: their names, email addresses, phone numbers, bookings and messages.

That information is yours, and theirs. We are handling it on your behalf, on your instructions, to run the service you pay for. We do not market to your customers, we do not sell their details, and we do not use them to train AI models.

You are responsible for telling your own customers how their information is used, and for having a lawful reason to collect it. We will help if you need a hand with that.

Who else sees it

We use a small number of companies to run the service. Each of them sees only what it needs.

  • Cloudflare, which hosts the site, stores the database and sends our email
  • Stripe, which takes payments. Stripe holds your card details; we never see the full number.
  • Google, for analytics, and for signing in if you choose to sign in with Google
  • OpenAI, which powers the AI features. Text sent to it to answer a question is not used to train its models.
  • Slack, where a client conversation channel has been set up at your request

What we never do

We do not sell your personal information, and we never have.

We do not share it with advertisers, or let anybody use it to build a profile of you across other websites.

We do not use your content, or your customers' content, to train AI models.

How long we keep it

While you are a client, and for 30 days after we part company so that you can ask us for an export. After that we delete it, apart from records we are required to keep.

Invoices and payment records are kept for seven years because tax law requires it.

Backups are overwritten on a rolling cycle, so deleted data can persist in a backup for a short period before it is gone for good.

What you can ask us to do

Whoever you are and wherever you live, you can ask us to:

  • Tell you what we hold about you
  • Give you a copy of it in a form you can use elsewhere
  • Correct anything that is wrong
  • Delete it, where we are not required to keep it
  • Stop sending you marketing, which you can also do from any email we send

Making a request

Email jacob.putnam@techbeatsolutions.com. We will answer within 30 days, and usually much sooner. We may need to check that you are who you say you are before handing anything over.

We do not charge for this, and we will not treat you differently for asking.

Children

TechBeat Solutions is a service for businesses. It is not intended for anybody under 18, and we do not knowingly collect information about children. If you believe we have, tell us and we will delete it.

Where your data is held

Our systems run in the United States. If you are outside the United States, using the service means your information is transferred there.

Changes to this policy

If we change something that matters, we will update the date at the top of this page and, where the change is significant, email you about it.
